Purpose
The purpose of this page is to provide an overview on importing and exporting data files using SAP BusinessObjects Postalsoft DeskTop Mailer and Postalsoft Business Edition software solutions.
Overview
You can import files into DeskTop Mailer and Business Edition, allowing you to work with or view the data in the program. You can also export data, allowing you to view the data outside Postalsoft, such as exporting data to be printed in Microsoft Word (using the Mail Merge function). Exporting data into other third party programs to print from is also a common industry practice.
Import and export considerations
The software does not support importing or exporting files that contain foreign characters or files larger than 2 Gigabytes.
Importing Files
With Postalsoft, you are able to import files with different layouts, including a variety of incoming data:
- Different field names, sizes, or types
- More or fewer fields than your data file
- Fields in a different order
- First and last names in one field
- City, State, and ZIP Code™ in one field
- ZIP™ and ZIP+4™ extension in separate fields
- Separate fields for each address component
Exporting Files
Exporting files allows you to generate a new database and use the data with other programs. You have the ability to export all records or a select number of records along with all or select fields.
After presorting a job you can also export in presorted order so that the export file matches the order the pieces were sorted.
Conclusion
Importing data into Postalsoft is the first step needed in order to have the data successfully read and interpreted from the file's original formats. Exporting completed files from Postalsoft to other programs can also be essential in situations whereby customers may prefer viewing and printing the presorted data using third party software. This includes the ability to export all or a select few number of records to other programs.
